How TimeEase Works

What's TimeEase

TimeEase is a comprehensive Jira Cloud app designed to simplify time tracking and worklog management directly within your Jira environment. Unlike external time-tracking tools, TimeEase keeps all your data secure within Jira, ensuring privacy and compliance with your organization's security policies.

Built for development teams, agencies, and project managers, TimeEase provides powerful features to track time, analyze productivity, and generate detailed reports—all without leaving Jira.

  • Native Integration: Works seamlessly within Jira Cloud with no external servers or data storage
  • Privacy First: Your worklog data never leaves your Jira instance
  • Zero Setup: Install and start tracking immediately—no configuration required
  • Free Tier Available: Full-featured free plan for small teams

Stopwatch

The Stopwatch is a built-in timer that allows you to track time in real-time directly from Jira. Simply start the timer when you begin working on a task, and TimeEase will automatically log your time as a worklog entry.

How It Works:

The stopwatch supports multiple states to give you full control over your time tracking:

  • Start: Begin tracking time on the selected issue. The stopwatch begins counting from 0:00.
  • Pause: Temporarily stop the timer without ending the session. Use this when you need a quick break.
  • Resume: Continue tracking time after pausing. Your elapsed time counter picks up where it left off.
  • Stop: End the current session and save the logged time as a worklog entry in Jira.
  • Cancel: Discard the current session without saving any time. Use this if you started tracking by mistake.

⚠️ Important: Only one stopwatch can be active at a time — starting a new one automatically stops the previous one.

Worklog Management

Below the stopwatch, you'll see a list of all worklogs for the current issue. This allows you to review and manage your time entries without leaving the stopwatch view.

  • View Entries: See all previously logged worklogs for the selected issue
  • Modify Worklogs (Paid Users): Premium users can edit existing worklogs directly from the list, including adjusting time spent, changing the date, or updating the description
  • Free Plan Limitation: Free users can view worklogs but cannot edit them directly from the stopwatch. To modify worklogs on the free plan, use the Timesheet tab instead.

💡 Pro Tip: Premium users benefit from the convenience of editing worklogs directly in the stopwatch, making it easier to adjust time entries on the fly without switching tabs.

Insights Tab

The Insights tab provides powerful analytics and visualizations to help you understand how time is being spent across your projects and team members.

Current Feature:

  • Active Stopwatch Monitoring: See which team members currently have running stopwatches in Jira. This helps managers and team leads monitor ongoing tracked work in real time.

Coming Soon: The Insights tab will be extended with additional analytics and visualizations, such as time distribution charts, team performance metrics, and sprint analytics. Stay tuned for future updates!

Worklogs Tab

The Worklogs tab is your central hub for viewing, filtering, and managing all time entries across your Jira projects. It aggregates worklogs from multiple projects into a single, easy-to-use interface.

Features:

  • Unified View: See worklogs from all accessible projects in one place
  • Advanced Filters: Filter by user and team, project, date range and period, issue type, fix version, component and JQL
  • Real-time Updates: Changes sync instantly across your Jira instance
  • Export Options: Download filtered worklogs as CSV for external reporting

How to Use:

  1. Navigate to the Worklogs tab
  2. Apply filters to narrow down specific time entries
  3. Extend issue row in order to see worklogs fit into your filter
  4. Export your filtered results for billing or reporting purposes

Known Limitation: Total time calculation and export only work for less than 4,500 issues at a time. If your filter returns more than 4,500 issues, please narrow your search for accurate results.

JQL Filter Limitation: The JQL filter does not have autocomplete. We recommend preparing your JQL query in Jira filters and then copying and pasting it into the field. You cannot use JQL filter in combination with other filter options—use JQL only or other filters only.

Timesheet Tab

The Timesheet tab provides a traditional timesheet view, making it easy to review time entries for payroll, billing, or compliance purposes.

Current Features:

  • User-Specific Timesheets: View your own or review team members' timesheets
  • Advanced Filters: Filter by user, project, period (including custom date ranges), and groups
  • Total Hours Summary: Automatic calculation of total hours worked
  • Export to Excel: Generate Excel-ready timesheets for accounting
  • Save and Share Reports: Save timesheet reports and share them with other users
  • Hide Empty Fields: Hide empty fields from the timesheet for cleaner, more focused reports
  • Add/Edit Worklogs: Add and edit worklogs directly from the timesheet view

Best Practices:

  • Review timesheets at the end of each week to ensure accuracy
  • Use timesheet exports for client invoicing or payroll processing
  • Set a reminder for team members to log time daily
  • Compare planned vs. actual hours to improve future estimates

Predictability

The Predictability feature helps teams improve their estimation accuracy by comparing planned effort against actual time spent. This data-driven approach enables better sprint planning and resource allocation.

How We Measure Accuracy: TimeEase uses MAPE (Mean Absolute Percentage Error) to track the difference between estimated and spent time. MAPE provides a clear, percentage-based metric showing how close your team's actual worklogs are to original estimates. Lower MAPE values indicate higher estimation accuracy.

How It Works:

  • Estimate vs. Actual: Compare original time estimates with logged worklogs
  • Accuracy Score: Get a predictability score based on historical data
  • Trend Analysis: Track how estimation accuracy improves over time
  • Issue-Level Insights: Identify which types of issues are consistently under/overestimated

Benefits:

  • Improve sprint commitment accuracy
  • Set realistic deadlines based on historical performance
  • Identify patterns in estimation errors (e.g., specific issue types)
  • Build trust with stakeholders through data-backed estimates

📊 Pro Tip: Use predictability data in retrospectives to discuss why certain tasks took longer than expected and how to improve future estimates.

Permissions

TimeEase respects Jira's native permission model, ensuring that users can only access worklog data they're authorized to view. This maintains security and privacy across your organization.

Permission Model:

  • Jira Permissions: TimeEase fully respects Jira's native permission model. If you have access to a user, project, or issue in Jira, you will see the same in TimeEase.
  • Visibility: If you can see a project or issue in Jira, you will see it in TimeEase. If you cannot, it will not appear.
  • Single Responsibility: You can only add or edit your own worklogs. It is not possible to add worklogs for other users.
  • Review Access: All users can review their own and visible team data in TimeEase, according to Jira permissions.

Privacy & Security:

TimeEase does not store any worklog data outside of your Jira instance. All queries and calculations happen within Jira's infrastructure, ensuring compliance with your organization's data governance policies.

Admin Settings

TimeEase includes powerful admin settings to customize the app for your organization's needs. These settings are configured at the organization level, not per user, ensuring consistent behavior across your team.

Settings Page Access

The Settings page is available through Apps → Manage apps, and then in the left sidebar there's TimeEase settings. This provides easy access for admins to configure organization-wide options.

Time Display Format

Configure how time is displayed throughout the app and in exports. The default format is now Hours/Minutes (e.g., 74h 30m), providing clearer and more precise time representations.

  • Hours Format: Shows time in hours and minutes (default)
  • Jira Format: Uses Jira's native week/day/hour/minute format
  • Tooltip Preview: Hover over any time display to see the total in the opposite format (e.g., if configured for hours, tooltip shows Jira format)

Timesheet Editing

Timesheet editing now adapts to your selected time format. You can enter time in either format, and the system will automatically convert and display it according to your settings. This provides flexibility while maintaining consistency in your reports.

🔧 Admin Tip: Settings are applied organization-wide, so changes made by one admin affect all users. This ensures consistent time reporting across your entire team.
